// What StellarReach does

Everything it takes to fill your pipeline — automatically.

Find the right businesses, show up with proof already built, and let the follow-up run itself. Here's the whole loop.

Before you lift a finger

Find the businesses worth winning, then show up with proof

Meet Proto, the StellarReach prospect finder — named for a protostar, a star that hasn't ignited yet, which is exactly what a prospect is. Proto scans a market and scores every site with a vision AI, the way a person would but at scale, so you spend time only on the leads worth a pitch. Then you decide what a promising one is worth: a personalized demo site generated in minutes — the spark — or a site-health scorecard that costs a fraction of it, with the demo built only for the prospects who ask. Either way you send something they can click instead of describing what you could do.

  • Vision scoring: outdated design, broken mobile, missing essentials, business size fit
  • A rubric you control — criteria, thresholds and target categories — running on a schedule or on demand
  • Reach-out / maybe / skip verdicts, so the noise never reaches you
  • A real demo, personalized rather than a template dump, hosted under your brand — a link to send, not an attachment
  • Businesses with no website at all are kept too, in their own greenfield pool — review them and promote the ones you want, and the demo is designed from scratch off what Maps knows about them

Once they answer

The follow-up runs itself. You just work the deal.

Outreach, project brief, nudge and farewell send themselves from your own inbox, in your voice, gated to business hours and a daily cap — and stop the moment a real human replies. From there you work them to a deal on the lead card: a focused workspace, not a CRM data-dump, showing one next action with everything else tucked into tap-to-open pills. It works as well on a phone between meetings as at your desk. The board runs frozen → cold → warm → hot, and when the deal closes you mark it ⭐ Won — ignition: the protostar Proto spotted finally lights up.

  • Sends from your own Gmail, Outlook or SendGrid — your domain, your signature — with open and click tracking so you know who's warm before you call
  • Call, Emails, Brief, Demo and Follow-up collapse into pills you tap to open; heat-coded borders flag what's overdue, hot or replied
  • One-tap call rings your phone first, then bridges the prospect, and logs the outcome automatically
  • Installs to your home screen and opens straight into your pipeline — thumb-sized targets, light offline resilience when the signal drops

How the email automation works →

A real StellarReach lead card: a hot lead with its deal value, one primary next action (Reply to their message), and Follow-up, Call, Email, Demo and Notes pills — the follow-up flagged due today, the demo showing read depth.

Three ways to approach a lead. You pick, per workspace.

A generated demo is the most persuasive first touch there is, and the most expensive. So it is a setting rather than an assumption — and the third option is the one most agencies land on.

Send a finished redesign

Every promising lead gets a demo built before you reach out. The strongest opener there is, and you pay for a build on each lead whether or not they ever open the email.

Send their scorecard

They get a report on their own site instead — how they show up in search, how it holds up on a phone, what a visitor notices first — with a button on it to request the redesign. You pay for a build only when somebody presses it.

Both, split by score

Set a threshold: leads above it get the finished redesign, everyone below gets the scorecard. Your build budget goes to the leads most likely to earn it, and the rest still get a real first touch rather than nothing.

Requested redesigns are built by AI in minutes, or by hand by your own team if you would rather. Either way the ask, the build and the delivery run themselves, and the lead is marked as having raised its hand.

Safe by default. You're always in control.

Cold outreach lives or dies on your sender reputation — so StellarReach is built to protect the domain your business runs on, and to never send anything in your name that you haven't set the rules for.

You choose how much runs unattended

Out of the box the pipeline runs on its own: a prospect that clears your score is promoted, a page is built, and that build goes into the outreach queue. Your control at that stage is the scoring rubric and thresholds you set. Want a human in the loop instead? Switch off auto-routing and every score waits for you to promote it, or turn on the quality gate so any redesign that isn't a real improvement is held for review. The later stages — nudge, farewell and the optional ones — stay off until you switch them on, and everything is bounded by your sending hours and daily cap.

Built to protect your domain

Turn on warm-up for a newly connected inbox and it ramps over three weeks instead of blasting from day one, and any inbox gets flagged if its open rate starts slipping. Volume stays paced by safe per-inbox limits, a shared workspace cap, business-hours-only windows on the days you pick, and rotation across your connected inboxes. The day’s outreach can fan out across a window you choose instead of leaving in one burst, so two prospects down the same street don’t compare notes on identical timestamps. Your SPF, DKIM and DMARC are verified and scored, addresses are checked before send, and every email carries a one-click CAN-SPAM unsubscribe with a permanent suppression list an opt-out can't slip past.

Nothing runs in the dark

Your deliverability health — auth score, warm-up status, undeliverable and suppression counts — sits on your reports page alongside the daily reach-out / maybe / skip funnel. Per-workspace spend caps, a hard monthly budget and a monthly scoring limit pause the AI before a run can surprise you, on cost or on volume.

Built for agencies, built to be yours

Your brand, end to end

Outreach always sends from your own inbox and domain. Full white-label demos — no “powered by” badge — unlock on Growth and above, along with your own domain on the links themselves: demos, scorecards and project briefs served from demos.youragency.com, and replies able to come back on your domain rather than ours. Scale and Agency add separate, isolated workspaces per brand, each with its own inbox, settings and data.

A seat and an inbox per rep

Invite your team as members, each connecting their own Gmail or Outlook inbox. Sends rotate across the team’s inboxes — least-loaded first, sticky per lead, within safe per-inbox caps — and replies route back from whichever inbox sent them.

Your rules, not ours

Scoring rubric, target categories, score thresholds, pricing and all email copy are settings, not code. Usage is prepaid and pay-as-you-go on every plan — or bring your own AI keys on Scale & Agency and pay those providers directly.

Set up for your trade, not ours

A new workspace starts on web-design defaults. The Funnel Blueprint replaces them with yours: answer about twenty short questions — what you sell, who you want to reach, what makes a lead worth chasing — and it drafts your scoring criteria and rubric, your target markets, the page built for each prospect, your project-brief page and your first emails. You read every line and edit it before a single setting is written, it refuses to overwrite anything you have already changed yourself, and one Undo puts the last apply back. Included in every plan.

Plugs into the stack you already run

Prospects push into your own CRM, mail sends from your own mailboxes, and calls run on your own telephony account — billed by your provider, never marked up by us.

They say yes. Then what?

The demo is the wedge, not the deliverable. Pricing, invoicing and handover run on your own accounts — your Stripe, your GitHub, your Netlify. Nothing routes through us and we never take a cut.

Put a price on it before the call

Set one flat price and every demo carries it. The prospect fills in a short form, and three of those answers — how many pages, whether a logo has to be designed, and anything transactional like booking or payments — decide whether the job still lands at that price. The acceptance reaches your rep already labelled send the invoice or call them first. Stripe is optional here: without it the offer still works as a qualifier.

Invoice from your own Stripe

Connect your own Stripe account and the invoice goes out from it, so the money reaches you directly and never passes through StellarReach. It bills in two halves that always sum to the price — a deposit up front, 50% by default, and the balance when you send it — with Stripe Tax handling tax on your own account. Switch on pay-now and an in-scope acceptance can settle the deposit right on the confirmation page.

Hand over the finished site

Export it as a zip that deploys as-is: the pictures downloaded and re-pointed so the page stops depending on their old host, the forms wired up to actually deliver, and a handover checklist that never names us. Or deploy it straight to a private repo and a live site in your own GitHub and Netlify accounts — it publishes in seconds with no build step, and you point the client’s domain at it when you’re ready.

Add Astro, a mission specialist, to the pipeline

Astro — the optional AI mission specialist

The core loop — Proto's find & score, the demos, the automated follow-up — is included in every plan. Astro (the AI Assistant add-on) is the optional layer on top: it sits inside the pipeline with your reps, suggests the next step on a lead, preps calls and drafts scripts, writes emails in your voice, builds proposals and pricing, researches prospects, and reads the whole funnel for managers.
