Getting started
What is StellarReach?
It's outreach automation for agencies. StellarReach finds small and medium-sized businesses worth pitching, sizes each one up from its own website with a vision AI, builds it something personal to open with — a redesigned demo, an audit of what's weak, whatever your work makes obvious — and runs the email follow-up from your own inbox.
Who is it for?
Web and digital agencies, studios, and freelancers running cold outreach — anyone who'd rather show up with proof than send another cold pitch. More broadly, it fits any outreach where you can tell a prospect needs you by looking at what they already have online: that's what the scoring reads, and what the page we build for them is based on. You pick your line of work when you set up, and the scoring, the page, and the emails are written around it.
Do the businesses have to be near me?
No. You point StellarReach at whatever market you want to sell into — your own city, a city you’ve never visited, or a specific industry across several regions. Nothing in the product assumes the prospect is near you, and the work is delivered remotely anyway. You pick the target categories and locations in your settings, and you can change them whenever you like.
What about businesses with no website at all?
They aren’t thrown away. A sweep scores the businesses that have a site, and collects the ones that don’t into a separate greenfield pool — there’s nothing to score when there’s no site, so they wait for you rather than getting a made-up grade. Review the pool, promote the ones worth pursuing, and StellarReach builds them a brand-new demo from what Google Maps knows about the business (name, category, address), finds a contact address off-site since there’s no website to read one from, and pitches a site they don’t have yet. You can also export the pool as CSV. It’s deliberately a decision you make rather than something that runs on its own: with no website there’s no signal to rank one of these leads against another, so a human picks.
Do my prospects see StellarReach?
Your outreach always sends from your own inbox and domain, so the emails are fully yours. Full white-label demo sites — with no "powered by" badge — are included on the Growth plan and above, and so is serving the links from your own domain: demos, scorecards and project briefs on demos.youragency.com, with replies able to come back on your domain rather than ours.
What do I need to get going?
A workspace, a sending inbox (Gmail, Microsoft 365 / Outlook, or SendGrid), and a prepaid usage balance for the AI (bring-your-own-keys is available on Scale & Agency). From there you set your target market, scoring rules, and email copy.
Keys & costs
What's the difference between platform keys and "bring your own keys"?
On platform keys (Starter and Growth), the AI runs on our provider accounts and you prepay a usage balance. On Scale & Agency you can instead bring your own keys (BYOK): connect your own Anthropic and Google keys, pay those providers directly, and we meter only the scoring worker's infrastructure.
How does usage billing work?
Your monthly plan covers platform access and capabilities. AI usage is billed separately: a prepaid balance that draws down as you go and auto-recharges your saved card when it runs low — or, on Scale & Agency with your own keys, your providers bill you directly. See Pricing for the full breakdown.
Can I cap how much I spend?
Your prepaid balance is the built-in stop — when it runs out, AI pauses, on either key mode. On our keys you can also set a hard monthly spend cap per workspace; it's off until you set one, and once reached AI pauses automatically. With your own keys those AI calls bill your provider directly, so the monthly cap and the scoring cap warn rather than halt — set your ceiling with Anthropic and Google as well.
Sending & compliance
Where do my emails send from?
From your own connected inbox — your Gmail, Microsoft 365 / Outlook, or SendGrid, your domain, your signature. StellarReach drafts and schedules; the mail goes out as you.
Are there sending limits and quiet hours?
Yes. Outreach is gated to business hours and a shared daily send cap, so the sequence paces itself instead of blasting all at once.
Can my team each send from their own inbox?
Yes, from Growth up — Starter includes one seat, so there is nobody to rotate with. Invite reps as members and each connects their own Gmail or Outlook inbox. Sends rotate across the team's inboxes — least-loaded first, sticky per lead, within safe per-inbox daily caps — and a reply routes back from whichever inbox sent it.
Am I responsible for anti-spam compliance?
Yes. You decide who to contact and what to send, so you're responsible for consent, suppression, unsubscribe handling, and compliance with laws like CAN-SPAM, CASL, and GDPR/PECR. See our Terms.
Can I connect my CRM?
Yes. Each workspace connects its own CRM — Zoho, HubSpot, Pipedrive, Close, Salesforce, GoHighLevel, EspoCRM, or any tool through a webhook (Zapier, Make, or your own). Prospects can sync in as leads when they engage (you choose the trigger — email open, demo click, or project brief) or with a one-click "Send to CRM". Leads land in your account, not ours.
How are replies handled?
Once reply capture is running, StellarReach classifies each reply: genuine interest moves the lead to engaged and notifies you, opt-outs are suppressed permanently, and out-of-office noise is ignored. What matters lands in your Replies inbox, and the automated follow-up stops the moment a real human replies. Capture is automatic on Microsoft 365, where we read the mailbox directly; on Gmail and SendGrid it's one switch (replies come back through a tokenized reply-to address instead). Bounces are separate: where your provider reports them — the Microsoft 365 mailbox, or SendGrid's event webhook — the bad address is cleared and re-looked-up automatically, and a dead domain is caught before we send either way.
Can I call prospects from StellarReach?
Yes, if you connect your own Twilio or Telnyx account. The Call now button on a lead rings your phone first, then bridges the prospect — no softphone — and logs the outcome to the lead. Calls bill to your provider and are never metered by us.
Is there an AI chat on the project brief?
Optionally, yes. Workspaces using their own Anthropic key (BYOK) can switch on a chat widget on the brief page that answers a prospect's questions in your agency's voice, grounded in their brief. It never quotes price or promises a timeline — those hand off to you — and it runs on your own key.
Data & security
Where is my data stored, and is it secure?
In a managed PostgreSQL database, isolated per workspace. Connected API keys and OAuth tokens are encrypted at rest (AES-256-GCM) and passwords are hashed with scrypt. More detail on our Security page.
Can one workspace see another's data?
No. StellarReach is multi-tenant with row-level workspace scoping — each workspace's leads, settings, keys, and inbox stay isolated.
Can I export or delete my data?
Yes. Your data is yours. Email support@stellarreach.app to request an export or deletion; see the Privacy Notice for details.
Billing & account
How do I change plans or cancel?
From Settings → Billing, through the Stripe customer portal. Cancellation takes effect at the end of the current billing period. Note that cancelling forfeits any unused prepaid usage balance — spend it down first if you have one.
What happens if a payment fails?
We retry and email you. If it can't be recovered, the workspace is paused until billing is resolved — your data stays put and reactivates when payment succeeds.
Do you store my card details?
No. Payments run through Stripe; full card numbers are handled and stored by Stripe, never by StellarReach.
What is the AI Assistant (Astro) add-on?
Astro is an optional add-on — $10 per seat per month, or $100 per seat per year, charged at your plan's seat count rather than the seats you've filled, so $10 on Starter, $30 on Growth, $100 on Scale and $250 on Agency — that switches on a layer of in-pipeline AI helpers for your team: suggesting the next step on a lead, prepping calls and drafting scripts, writing emails in your voice, building proposals and pricing, and reading the whole funnel for managers. The add-on is access only; the AI usage itself is billed the same as always. See the AI Assistant page for the full list.
What is the Exclusivity Period add-on?
It makes every business you email first exclusively yours to work. For 60 days no other StellarReach agency can email that business, and the window rolls forward while the lead keeps engaging (a demo view, reply, or call). If it goes quiet the claim lapses and the lead returns to the shared pool. It's $39 per seat per month, charged at your plan's seat count rather than the seats you've filled — so $39 on Starter, $117 on Growth, $390 on Scale and $975 on Agency. The name comes from astronomy's “proprietary period” — the exclusive window a team gets to work new telescope data before it's public.
Does claiming a lead lock it to me forever?
No. A claim lasts 60 days from your first demo email and rolls forward each time the prospect actually engages. If a lead goes quiet the claim lapses and it frees up. If you still want a quiet lead fenced off past its free window, an admin can keep it locked for $5 per lead per month, or let it drop — active leads stay yours at no extra charge. Only genuine prospect actions extend a claim; email opens and your own follow-ups don't.
